Clockify

Overview

The Clockify integration lets Bumblebee report on the time your team tracks in Clockify. It is built for the questions professional-services firms ask every week and month: how many billable hours went to each client, who is over or under capacity, how much of a retainer or project budget is used, what has not been invoiced yet, and where time was logged without a description.

The integration is read-only. It never edits time entries or changes anything in your workspace.

Prerequisites & Setup

Before setting up the Clockify integration, you need:

  • A Clockify account that is an owner or admin of the workspace you want to report on
  • A Clockify API key for that account

Generate an API key

  1. Sign in to Clockify as a workspace owner or admin
  2. Open your profile menu (top right) and choose Preferences
  3. Go to the Advanced tab and, under API, click Manage API keys, then Generate new
  4. Copy the key — Clockify shows it only once

Use an admin or owner account. Bumblebee sees what the key's owner sees. A regular member's key only reports on that member's own time.

Check your default workspace

Bumblebee reports on the key owner's default workspace and never asks for a workspace ID. If the account belongs to several workspaces, make the one you want to report on your default in Clockify first. If your workspace uses a custom subdomain, generate the key while signed in to that subdomain.

Configure in Bumblebee

  1. Go to Integrations
  2. Select Clockify
  3. Paste the API Key
  4. Save the configuration
  5. Run a test request from the validation card

Available Tools

All tools are read-only.

Reports

The report tools share one set of filters, so any question can be sliced the same way: include or exclude specific clients, projects, team members, user groups, tasks, or tags, and narrow by billable, invoiced, approval status, or description text (or entries with no description). Hours come back as decimal hours and money in your workspace currency.

  • get_summary_report — Totals grouped up to three levels deep: by client, project, task, team member, user group, tag, day, week, or month. Includes billable vs. non-billable hours and earned (billable amount), cost (labor cost), and profit.
  • get_detailed_report — The individual time entries behind a number, one page at a time: who, when, which client/project/task, tags, description, rate, and amount.
  • get_weekly_report — Day-by-day hours for one week, per person or per project — the timesheet view.
  • get_attendance_report — Hours worked vs. capacity, overtime, breaks, and time off, rolled up per person for any period — with day-by-day detail (first start, last end) on request.
  • get_expense_report — Expenses logged against projects (travel, mileage, software…), with totals and billable totals.

Lookups

These turn names into the IDs the reports filter on:

  • get_workspace — Workspace currency, plan, week start, daily capacity, and the time zone reports use by default
  • list_clients, list_projects, list_tasks, list_tags — Clients, projects (with their billing rate and time or budget estimate), tasks, and tags
  • list_users, list_user_groups — Team members (including limited members who don't log in) with billable and cost rates, and teams
  • list_expense_categories, list_holidays, list_time_off_requests — Expense categories, workspace holidays, and PTO requests

What you can ask

Once connected, you can ask Bumblebee questions like:

  • "How many billable hours did we log for each client last month?"
  • "What was each consultant's utilization in September, billable vs. total?"
  • "How much of Acme's monthly retainer have we used so far?"
  • "Which client work from August hasn't been invoiced yet?"
  • "Who worked overtime during the go-live week?"
  • "Show the accounting team's hours by client, excluding internal time"
  • "List entries from last week that are missing a description"
  • "What expenses did we log against the conversion project, and how much is billable?"

Limitations

  • Read-only. Bumblebee cannot create, edit, approve, or invoice time.
  • One workspace. Reports cover the API key owner's default workspace.
  • Report range on the Free plan. Clockify limits Free-plan reports to one month per request; paid plans allow longer ranges.
  • Weekly report covers exactly seven days and groups by person or project.

Troubleshooting

An authentication error on every call — the API key was rejected. Generate a new key and save it again.

Reports only show one person's time — the key belongs to a regular member. Use an owner or admin account's key.

Reports show the wrong workspace — change the key owner's default workspace in Clockify.
